Business process overview

AI Integration — Tokyo consulting, Japan

Knowing which processes to automate matters more than automating everything.

Shinonome works with Japanese businesses to assess candidate processes, build forecasting tools from existing data, and prepare teams for a working environment that includes automated systems.

What We Deliver

Most organisations arrive at automation with a list of things they think could be automated. We find that the more useful starting point is a list of things that probably should not be — and a smaller, clearer list of things that genuinely suit the change.

From that foundation, we either help implement specific tools — demand forecasting from historical records being one — or we run a structured programme that prepares staff to work alongside these systems without uncertainty about what requires human judgement and what does not.

How This Works in Practice

Three things that make a difference.

01 — Honest Assessment

Before any implementation, we examine what you have: process documentation, data quality, error tolerance, and the people responsible. Our output includes a plain-language table of what suits automation — and which processes should be left as they are, and why.

02 — Tools From Your Data

Forecasting models work better when they are trained on your own records, validated against periods your team actually remembers, and handed over with documentation that lets internal staff maintain them. We do not leave organisations dependent on us for ongoing operation.

03 — Staff Readiness

Staff who understand what automated tools do — and where their output needs checking — are more effective than those who either over-rely on or actively avoid the system. We prepare teams with practical, role-specific exercises rather than general awareness sessions.

Process

What an engagement looks like.

01
Initial Conversation

We begin with a direct conversation about your situation — what processes exist, where the pressure is, and what has already been tried. No sales presentation. We ask questions and take notes.

02
Assessment

Depending on the engagement, this is either a three-week process suitability review or the data preparation phase of a forecasting build. In either case, we report findings before proposing next steps.

03
Delivery

Work is delivered with documentation. For capability programmes, sessions are tailored to the department. For forecasting, handover includes everything needed for internal retraining. We make the dependency on us as short as possible.

04
Follow-Up

The staff capability programme includes a question channel open for two months after sessions conclude. For other engagements, we remain available for questions about the delivered work within a reasonable period.

What Makes Engagements Work

Preconditions for effective AI integration.

Precondition What It Requires Status
Documented process Steps written down or describable in sequence, even if informally. Processes known only to specific individuals need capturing before automation is considered. Required
Accessible data For forecasting work: at least three years of consistent records in a format that can be read and cleaned. Gaps, format changes, and missing periods all affect what is achievable. Required
Named owner A named internal person with authority over the process and time to participate in the engagement. Engagements without a clear internal point of contact tend to stall. Required
Time expectations Assessments run three weeks. Forecasting implementations run ten weeks. Capability programmes run six weeks. Compressing these timelines produces worse output. Noted

Starting Point

A conversation costs nothing and clarifies a great deal.

If you are trying to decide whether automation is a reasonable direction for your organisation, or which part of it to consider first, a direct conversation is often more useful than further reading. We are straightforward about what we think suits your situation and what does not.
